Hello Windrushers!

It's fast approaching that time of year when we have our annual meeting to make sure everyone is happy with how the club is being run, and if not, to let us know! It is also the night when the committee will be elected for the coming year. If you want to be more involved with running the club or think you can make Windrush bigger and better than it currently is, NOW is the time to raise your hand and get involved. Even if you don't think you'll stand for any positions, please come along to vote on who you think should be running the club!

Details: The 2017 AGM will be held on Tuesday 26th September 2017. Details on venue and times will be confirmed asap, but it will be in evening in the Herne Hill area. Event sign up is here

Important notes: 

1) As with previous years, we will be publishing the annual accounts and AGM agenda at least 2 weeks (i.e. before the 12th September) before the AGM.

2) The committee will be proposing some amendments to the club's constitution (http://clubhouse.windrushtri.co.uk/page/constitution).

To keep what we are doing transparent, the committee will be proposing changes to how the committee itself operates and some of the committee roles themselves to try and make it work more smoothly. All the sessions, socials and events you enjoy doing now will continue (provided you put your hand up and help make it happen!). We will publishing our proposed amended constitution before the 12th September, but the descriptions for the roles we will be proposing are attached.

If you would like to propose any changes or amendments to the constitution please send them to me before the 5th September and I will include these in the proposal published on the 12th September.

3) ALL committee positions are elected on the night. Just because someone is re-standing for a position does not mean you can not stand yourself. We want ALL positions to be contested. If you are unsure about what a particular role involves, please get in touch with the person currently in the position http://clubhouse.windrushtri.co.uk/page/windrush-commitee or ask any of the committee you see at the socials or training sessions. If you would like to stand for a position, please fill in the form attached and return it to me ideally by the 12th September (PM me and I will send you my email address).

4) If you would like to raise anything for discussion at the AGM, please send this to me ideally before the 12th September.

Hi Rob, Thanks for posting all of this. I think it is a good idea to reduce the size of the committee a bit to hopefully keep the club running smoothly and more efficiently. I was just wondering how it will work with the co-opted role in terms of reporting what they do to the committee etc? It would be good, given the proposed changes, to know how they will work.

We are in the process of working out what we think would be the best way to operate in terms of committee members and the co-opted roles and will hopefully have a visual representation of this soon. In brief, each co-opted role would sit under a committee member and it would be the responsibility of the committee member to raise any concerns of their co-opted members.

For example, if the Volunteer Coordinator sat under the Secretary, and wanted something raised (such as a Parkrun takeover), they'd let the Secretary know, who would then raise it with the rest of the committee. I would also emphasise at this point we are NOT proposing a line-manager type setup. We are all still nice people that like to talk to each other. There is no reason why the Volunteer Coordinator and Aquathlon Director can't work together to sort out volunteers for the Aquathlon without any involvement of the Secretary. In terms of reporting back to the Committee, that may differ depending on how involved the task is. Taking the Aquathlon volunteers example, the Aquathlon Director would probably be the person reporting to the committee on how the volunteer recruitment was going as part of the overall prep/build up to the event. 

A part of the proposal to reduce the committee is also to make better use the small sub-committees that already exist, like the coaches group that Lucy leads, the Aquathlon sub-committee that Rory leads and the various social sub-committees that Saffron leads.

So the  co-opt roles wont have the right to have  a committee vote?

It's also a good idea to show up at the AGM in case anyone nominates you in your absence and you end up trying to organise kit ordering and distribution for the next five years ;-)

That is correct. The co-opted roles, like any member of the club, can have any issue they want raised at a committee meeting by getting in touch with a member of the committee. The changes are there to let the co-opted roles focus on their roles and not have to attend committee meetings when there is nothing of relevance to that role being discussed at that meeting.

Just an update on this. I have now uploaded the proposed amendments to the constitution that the committee is happy to put forward for all of the members to consider. Proposed amendments can be found here or from the list of documents in the main description.

Please have a look through the proposed changes, as there will be a vote on this at the AGM. If you have any questions about this or any aspect of the AGM get in touch with any of the committee or come find us at the socials and at training and we will happily tell you about it.

And there are still lots of positions which I have received NO volunteers for. Please do think about giving a bit of your time this year to make the club better in your own way! If we don't have people fill the roles, those activities simply won't happen.

And even if you don't think you can stand for any positions next year, please do still come along to the evening! There will be pizza and good company! :D Make sure you sign up on the event page so we know how many to expect!
